 What does the job entail?

The Office Coordinator is the face of our business, providing a first class experience to our guests. You will provide support to our Leadership Team and coordinate reception and facilities to ensure that we provide outstanding service to our guests, customers and the internal business. This is a part time position, working Thursday and Friday as well as providing holiday cover when needed.

Duties & Responsibilities:

  • To manage the professional greeting of clients and visitors, to the highest standards
  • To manage meeting room bookings ensuring that all enquiries are accurately dealt with
  • Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
  • Ensure External meeting rooms are clean and tidy when not in use
  • Answer enquiries and phone calls, transferring and ensuring solutions
  • Manage correspondence by answering emails and sorting mail
  • Provide assistance to the Office Manager with the day-to-day health and safety issues which will include risk assessments, reporting H&S incidents as appropriate and liaising with our H&S consultants
  • Proactively manage tenant fault reporting and day to day issues
  • Support the Leadership Team with calendar management and ongoing support
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • To support all functionality and responsibilities in both Office and Facilities areas as directed by your Manager
  • Assist in planning and arranging both internal and external events for the business
  • Support the Leadership Team with calendar management and ongoing support
  • Maintain company stationary/equipment/stock supplies
  • Must be able to cover holiday’s within the team when needed
  • Any other reasonable duties as defined by management

  • Maintain a professional corporate appearance at all times
  • High attention to detail
  • Excellent organisation skills and be able to prioritise workload
  • Excellent communication skills, both written and verbal
  • Good memory for faces and appointments
  • Ability to work in a constantly changing environment
  • Forward thinking and a “can do” style approach
  • Highly productive with energy, drive and focus on delivery
  • Highly efficient in all Microsoft packages
